Before the call

  • Tell the host that an Ergo notetaker may join.
  • Make sure the event link is the same link attendees will use.
  • Keep the dashboard open if the meeting is important and you want to watch live bot status.

During the call

  • If the card shows the bot is joining or in the waiting room, ask the host to admit it.
  • If the bot is recording, let the meeting finish normally.
  • If the bot should leave, use Remove Bot from the meeting card.
  • If the bot disappears, never joins, or was removed before capture started, use Add the bot to a live or ad hoc meeting to dispatch a fresh bot.

What the states mean

  • Scheduled: Ergo has a notetaker record for the event, but the bot is not in the call yet.
  • Joining: the bot is attempting to enter the conference.
  • Waiting room: the bot needs admission by the host or another attendee with permission.
  • Recording: the bot is in the call and recording.
  • Removed: the bot was removed or unscheduled for that event.
  • No longer visible: the bot may have left after waiting too long, being denied, or being removed. Dispatch a fresh bot if the call still needs capture.

Common issues

  • Waiting-room settings prevent automatic entry.
  • The meeting host is external, so the host or another attendee with permission needs to admit the bot.
  • The meeting was rescheduled, created late, or changed after the notetaker was scheduled.
  • The conferencing platform or link format is not supported.
