Product screenshot showing team membership, role controls, and access settings. Use this page to control the organization-level recording disclaimer for the Ergo meeting bot. The disclaimer sends a chat message when the bot joins a meeting indicating that it is recording.

Who can use this

  • Super admins can view and change the recording disclaimer setting.
  • Other admins and users inherit the organization setting for bot-recorded meetings.

Before you start

  • Confirm your organization’s recording-notice requirements with your legal or compliance owner.
  • Decide whether the bot should post the disclaimer message for meetings it joins.
  • Review desktop recording behavior separately because desktop recording does not rely on the meeting bot joining the call.

Steps

  1. Open the calendar settings menu as a super admin.
  2. Find Recording Disclaimer.
  3. Turn the switch on or off.
  4. Confirm the setting with a scheduled bot meeting.

What to expect

  • When enabled, Ergo includes chat-message configuration for meeting bots so they can announce that the meeting is being recorded.
  • When changed, Ergo saves the organization setting and attempts to update active or scheduled bots for the organization.
  • The setting controls the bot disclaimer message. It does not replace your consent, notice, or recording-policy obligations.
  • The setting does not change meeting visibility, summary emails, or recording access.

Common issues

  • The setting is missing. Confirm the acting user is a super admin.
  • A bot already joined before the change. Check the specific meeting; already-created bot behavior can depend on whether the bot update succeeded.
  • A desktop recording needs a notice. Review the desktop recording workflow separately.
  • A meeting platform does not show the chat message. Confirm the bot was admitted, the meeting platform supports the message, and the org setting was enabled before or during bot scheduling.
